From Scattered Trello Boards to a Streamlined ClickUp Workspace

The Client

Jamie Berman is a Money Manifestation Coach with a strong digital presence, including 6,300+ email subscribers and 6,000 Instagram followers. At the beginning of 2025, she launched her 12-month group coaching program, Money Manifestation Movement, focused on helping entrepreneurs shift their money mindset and grow their businesses without burnout.

When we first started working with Jamie, she was in the middle of launching another round of her program. The team had multiple Trello boards that housed recurring tasks, resources, and integral launch plans and tasks that were highly urgent and needed to take priority. But the team was scattered, often missing and/or forgetting important tasks because it was just hard to keep track of in Trello. This lack of clarity caused confusion, wasted time, and increased overwhelm among team members.​

Challenges

When we started to work with Jamie and her team, we identified the following challenges that needed to be addressed and could be remedied with a customized project management tool build:

 

  • Team struggled to find resources due to scattered information

  • Tasks and systems were fragmented across multiple tools

  • Frequent task slippage, especially during high-pressure launches

  • Lack of clear workflows caused confusion and wasted time

  • Increased overwhelm and difficulty delegating among team members

Solutions Implemented

We took a phased approach to address the team’s operational chaos:

🔎 Phase 1: Discovery & Analysis

Conducted a thorough audit of Jamie’s existing tools and processes, clarified team roles and responsibilites, conducted task analyses of each team member, and developed a plan to centralize tasks across key departments.

 ⚙️ Phase 2: Custom ClickUp Build

Designed and implemented a fully customized ClickUp workspace featuring organized task lists, a content calendar, Customer Relationship Management Section and subsequent workflows, and launch management.

💻 Phase 3: Team Onboarding

Developed personalized training materials, onboarded and trained the entire team on the workspace, and created reusable templates for high-impact projects and launches to ensure the system could scale seamlessly without losing organization.

Results & Outcomes

Our 4 phase approach to creating operational clarity resulted in a single streamlined ClickUp workspace replacing the previously fragmented Trello boards and information in Google Docs. Now, Jamie’s team has clear workflows, repeatable launch plan templates, easy access to resources, and built-in CRM tools that kept everyone aligned. 
 

This overhaul eliminated missed tasks during launches, saved countless hours of searching and confusion, boosted team confidence, and simplified delegation. Most importantly, Jamie’s business gained an operational  foundation designed to reduce overwhelm and increase efficiency.
